Choosing who can see a collection

The page a collection sits on decides who can see it. Members see a collection when it is on a published page they have access to. A collection on no page is only visible to the people who manage it.

Who can do this: collection managers and Admins.

Put a collection on a page

  1. Open the collection and select the Manage tab.
  2. In the left sidebar, click Share.
  3. In the Page card, start typing and pick a page.
  4. Click Save in the Unsaved changes bar.

A collection can be on one page at a time. To take it off a page, clear the Page field and save.

You add collections to a page from the collection, not from the page. See Adding a collection or survey to a page.

Who sees the collection

Each page has a Visible to setting. The collection follows it.

Specific domains Members whose email address ends in one of the chosen domains
Specific groups Members of the chosen groups
Specific members The people named on the page, including named guests

Whatever the page setting, these people always see the collection:

  • its collection managers, including managers of the folder it is in;
  • Admins.

People who submitted an idea, or who are assigned to one, can always open that idea, even if they can’t see the rest of the collection.

Unpublished pages hide their collections

New pages start unpublished. While a page is unpublished, its collections are hidden from members. Only the collections’ managers and Admins see them.

This is handy for preparing a campaign: set everything up on an unpublished page, then publish the page when you are ready to launch.

Note: People with the Manager role don’t see collections on an unpublished page unless they manage them.

Collections on no page

A collection that isn’t on any page is visible only to its collection managers and Admins. This is where every new collection starts.

Folders don’t give access

Folders are a filing system for the people who manage collections. Members never see folders, and putting a collection in a folder doesn’t make it visible to anyone new.

The one exception: the managers of a folder become collection managers of everything inside it. See Giving people access to a folder.

If you switch on the collection’s share link, anyone with the link can open the collection, whatever its page. This works even when the page is unpublished. See Sharing a collection with a link or QR code.

Seeing is not the same as contributing

The page decides who can see a collection. The collection’s Access setting decides who can submit ideas to it. For example, you can let everyone see a collection but only let its managers contribute. See Collection settings explained.

Common questions

I’m a Manager. Why can’t I see a colleague’s collection? The Manager role lets you create collections, but it doesn’t show you every collection. You see a collection when it is on a published page you have access to, or when you manage it.

Can members see ideas that are hidden? No. Members don’t see hidden ideas or ideas in hidden steps, even when they can see the collection. See Hidden ideas, hidden names and anonymous collections.

Can I put a collection on two pages? No. A collection sits on one page at most.
