Exporting a collection to a spreadsheet

You can download every idea in a collection as a CSV file, which opens in Excel, Google Sheets or Numbers. The Export button is on the collection’s dashboard.

Who can do this: collection managers and Admins.

Export a collection

  1. Open the collection and select the Manage tab.
  2. Click Overview in the sidebar.
  3. Make sure the Dashboard tab is selected.
  4. Click Export at the top right.

The file downloads straight away. It is named after the collection and today’s date.

What the file contains

There is one row per idea, oldest first. The export includes every idea in the collection, including hidden ideas and ideas in hidden steps.

Column What it holds
Collection The collection’s title
Step The step the idea is in, or “Inbox”
Contributors Names of the people who submitted the idea
Emails Their email addresses
Created The date the idea was submitted
Title The idea’s title
Content The idea’s description
Views How many times the idea has been opened
Reactions Number of likes or votes

After these come the answers to the submission form questions, one column per question:

  • Text and number questions: the answer.
  • Option questions: one column per option, with 1 if it was chosen and 0 if not.
  • Rating questions: one column per criterion, with the score.

What isn’t exported

  • Comments
  • Files and attachments
  • Answers to step and Inbox questions (only the submission form is exported)
  • Assignees

Contributor privacy and the export

If the collection has Hide contributor names or Save contributions anonymously turned on, the Contributors and Emails columns are left out completely. See Collection settings explained.

Good to know: The export can contain names, email addresses and hidden ideas. Store and share the file with care.

Common questions

Can I export several collections at once? No. Export each collection separately.

Can I export comments or step ratings? Not in the export. Collection managers can see ratings in the Voting and Scoring tabs of each step. See Rating ideas and answering step questions.
