Pages: how to create, publish and choose who sees them
A page groups collections and surveys for a team, site or initiative. Pages appear on the Home page, and a page’s audience decides which members can see the collections and surveys on it. New pages start unpublished, so members only see a page once you publish it.
Who can do this: Admins and Managers can create pages. Only Admins and the page’s managers can edit, publish or delete a page.
What a page contains
Each page has:
- a cover image,
- a title (up to 100 characters),
- text, with headings, lists and links,
- attachments, such as documents or images (up to 1 GB per file),
- the collections and surveys placed on it,
- an audience (Visible to) and a published or unpublished state.
A collection is where people share ideas around a question or challenge. A survey is a set of questions people answer. See What is Hives? for the full picture.
Create a page
- Click + in the top bar and choose Page. You can also go to Home, switch to Edit and click + Page.
- In Add page, add a cover if you want one.
- Enter a title and some text.
- Click Save.
The new page:
- is unpublished,
- is visible to All once published,
- goes first in the list of pages on Home.
You become the page’s manager. A page manager can edit, publish and delete that page, and sees Edit on it whatever their role. Admins can do this on every page.
After saving you land on the new page. Switch to Edit in the top bar to set it up.
Edit a page
Editing pages works on a computer, not on a phone or tablet.
- Open the page.
- In the top bar, switch from View to Edit.
- Use the Edit tab to change the cover, title, text and attachments. You can add, rename and delete attachments here.
- Click Save in the bar at the bottom.
Choose who can see a page
- Open the page in Edit mode.
- Go to the Access tab.
- Under Visible to, choose one option:
| Option | Who sees the page once it’s published |
|---|---|
| All | Every member of the hive. |
| Specific domains | Members whose email address ends in one of the domains you pick. You can choose from your hive’s allowed domains. |
| Specific groups | Members of the groups you pick. |
| Specific members | Only the people you name. You can also name guests here. |
- Click Save.
When you search for groups or members, results appear after a short pause.
Some people always see a page, whatever its audience:
- Admins and Managers see every page, published or not.
- The page’s managers always see their own page.
Guests (people who only have access to specific things in the hive) only see published pages that name them under Specific members. See What guests can see and do in Hives.
Good to know: Seeing a page is what lets members see the collections and surveys on it. Managing a page does not make you a manager of the collections on it. See Choosing who can see a collection.
Publish or unpublish a page
- Open the page in Edit mode.
- Go to the Access tab.
- Turn on the Publish switch. The card then says when the page was published.
- Click Save.
To hide the page again, turn the switch off and save.
While a page is unpublished, members can’t see it or the collections and surveys on it. Collection managers, survey managers and Admins still can. An active share link to a collection or survey keeps working.
Delete a page
- Open the page in Edit mode.
- Go to the Other tab.
- Under Danger zone, click Delete.
- Confirm in Delete item?.
Deleting a page permanently erases its text and attachments. Its collections and surveys are not deleted. They stay in their folders, or under Uncategorized if they are in no folder. Members who could only reach them through this page lose access until you put them on another page.
Common questions
I created a page but members can’t see it. Why? New pages are unpublished. Turn on Publish in the Access tab and save. Also check that Visible to includes the people you expect.
A Manager can see my page but can’t change it. Why? Managers see every page, but only the page’s managers and Admins can change it.
How do I put a collection or survey on a page? You do it from the collection or survey, not from the page. See Adding a collection or survey to a page.
How do I change the order of pages on Home? Admins can do this from Home in Edit mode. See How to edit the Home page.
