Choosing who sees a comment, and moderating comments

Collection managers and Admins can choose who can read each comment they post: everyone, only the idea’s authors, or only the collection managers. They can also change this for an existing comment, and delete any comment on ideas in their collections.

Who can do this: collection managers and Admins. Everyone else always posts comments that everyone who can see the idea can read.

The three visibility options

Option Who can read the comment
Everyone Everyone who can see the idea
Idea authors The idea’s contributors (the person who submitted it and any co-authors), plus collection managers and Admins
Collection Managers Collection managers and Admins only

On an idea that is hidden from ordinary members, Everyone reads Everyone who can see this idea. If the idea is made visible to everyone later, the comment becomes visible to everyone too.

Assignees, panel members and reviewers get no extra access. They read only comments set to Everyone, unless they are also a contributor or collection manager.

People always see their own comments, whatever the setting.

Post a comment for a smaller audience

  1. Open the idea.
  2. Type your comment in the Write a comment… box.
  3. Use the Visible to picker on the comment box to choose Everyone, Idea authors or Collection Managers.
  4. Press Enter, or click the paper plane button, to post.

Replies always have the same visibility as the first comment in the conversation. You can’t make a reply more private than the comment it answers.

As a collection manager, you see the visibility next to each comment’s time, for example “· Idea authors”.

Change who can see an existing comment

  1. Click ⋯ next to the comment.
  2. Click Visibility.
  3. Choose the new option and save.

The change applies to the whole conversation: the comment and all its replies. Only collection managers and Admins can change visibility. The person who wrote the comment can’t.

Delete a comment

  1. Click ⋯ next to the comment.
  2. Click Delete.
  3. Click Delete again to confirm.

If the comment has replies, it stays as This comment was deleted and the replies remain. A comment without replies disappears completely. Deleting a comment also removes the notifications about it.

You can delete any comment on ideas in collections you manage, but you can’t edit another person’s text. Only the author can do that.

Notifications

People are only notified about comments they are allowed to read. A comment set to Collection Managers does not notify the idea’s contributors.

Collection managers are not notified about comments just because they manage the collection. They get notifications only for ideas they submitted, contributed to or are assigned to, and for replies to their own comments.

Good to know

  • Comments are not included in the spreadsheet export of a collection.
  • AI summaries of a collection only use comments set to Everyone. See AI summaries of a collection.
  • On collections that hide contributor names, comments by the person who submitted the idea show as Submitter, also to collection managers and Admins.
