How to move an idea to another step
Open the idea and click the step label at the top, then pick the step you want. Collection managers can also drag ideas onto a step in the collection’s Manage view. Moving an idea tells its contributors and the new step’s panel.
Who can do this: collection managers, Admins and the idea’s assignees. Assignees can only move ideas between the steps of the same collection. Contributors can’t move ideas.
Every new idea starts in the Inbox. Steps are the stages an idea moves through after that, such as review, testing or implementation. Each collection has its own steps.
Move an idea from the idea itself
- Open the idea.
- If you manage the collection, click the Manage tab. (Assignees skip this step.)
- Click the step label at the top of the idea. It shows Inbox or the name of the current step, with a small arrow.
- Pick the step you want to move the idea to. You can also pick Inbox to send it back.
The label updates straight away.
Drag ideas in the Manage view
- Open the collection and go to its Manage view.
- Open Inbox, a step, or the list of all ideas.
- Drag an idea onto a step, or onto Inbox, in the sidebar on the left.
This is handy when you are sorting many ideas at once.
What happens when you move an idea
- The move is recorded. In the idea’s Manage tab, each step shows the date the idea arrived there.
- Contributors are told. The people who submitted or contributed to the idea get a notification in Hives saying the idea is now in the new step. They don’t get an email.
- The new step’s panel is told. If the step has a panel (people chosen to review ideas at that step), each panel member gets a notification and an email headed Your input is needed, with a button to open the idea.
- Automatic comments are posted. If the collection managers have set up automatic comments for the step, they are posted on the idea. This happens only the first time an idea arrives at a step, so moving it back and forth does not repeat them.
- The reviewer starts fresh. If the old step had a reviewer assigned, that review stays in the idea’s history. The new step has no reviewer until someone assigns one. See Reviewers and panels.
You are never notified about your own moves. Moving an idea back to the Inbox sends no emails. People are only told about ideas they can open.
Reminders while an idea waits
Collection managers can set Reminder days on a step. When an idea has been in that step for that many days, the collection managers and the idea’s assignees get a reminder email. The reminder repeats every time the same number of days passes, until the idea moves on.
The Inbox can have Reminder days too, under Form & step settings. When a new idea has sat in the Inbox for that many days, the collection managers get a reminder email. See Adding and setting up steps.
Things to know
- Required questions don’t block a move. Required questions only stop people from submitting the form. You can move an idea even if step questions are unanswered.
- Visibility can change with the step. If a step hides its ideas, members stop seeing the idea while it is there. If reactions are turned off for a step, people can’t like or vote while the idea is there.
- Questions follow the step. Each step has its own questions. See Rating ideas and answering step questions.
Common questions
Can I move an idea to a step in another collection? No. To move an idea to a different collection, use Move to another collection. See Moving an idea to another collection.
Can I undo a move? Move the idea back to the step it came from. Any automatic comments that were posted stay on the idea.
I’m assigned to an idea but can’t see the Manage tab. That is expected. As an assignee you move the idea with the step label at the top of the idea, which you can click.
