Hiding, unhiding and deleting ideas
Collection managers and Admins can hide an idea from other members, or make a hidden idea visible again, from ⋯ > Edit on the idea. This works on any collection. They can also delete any idea at any time from ⋯ > Delete.
Who can do this: collection managers (including managers of the collection’s folder) and Admins. The Manager role on its own is not enough: you need to manage the collection.
Hide or unhide an idea
A hidden idea is not shown to ordinary members. It is still seen by its contributors, its assignees, collection managers, Admins and the panel and reviewer of the step it is in.
- Open the idea.
- Click ⋯ (More actions).
- Click Edit. The Edit contribution window opens.
- Tick Hide from other members to hide the idea, or untick it to make it visible again.
- Click Save.
Hidden ideas show an eye icon with a line through it next to their title.
As a collection manager or Admin, you always see the Hide from other members box when you edit an existing idea, whether or not the collection has Enable hidden contributions turned on. That setting only controls whether contributors get the box when they submit. You find it in the collection’s Manage view under Overview > Settings. See Collection settings explained.
If you turn Enable hidden contributions off, ideas that are already hidden stay hidden until you unhide them.
Contributors can choose to hide their idea when they submit it, but they can’t change it afterwards. Only collection managers and Admins can.
Other ways ideas are hidden
Hiding one idea is different from these collection-wide options:
- Hide ideas while in… a step hides every idea while it sits in that step. See Adding and setting up steps.
- Hide contributor names and Save contributions anonymously hide who submitted ideas, not the ideas themselves. See Hidden ideas, hidden names and anonymous collections.
Delete an idea
- Open the idea.
- Click ⋯ (More actions).
- Click Delete.
- Click Delete again to confirm. You see Contribution deleted.
Deleting removes the idea and everything on it: its answers, comments, reactions, files and notifications. It can’t be undone.
Good to know: If you might need the idea later, consider hiding it instead of deleting it.
Who can delete an idea
| Person | Can delete |
|---|---|
| Collection managers and Admins | Any idea, at any time |
| The person who submitted the idea | Only their own idea, and only while it is in the Inbox |
| Contributors added later | No |
| Assignees | No |
Ideas in an anonymous collection are not linked to anyone, so only collection managers and Admins can delete them.
