Notifications and emails from Hives

Hives lets you know when something happens to an idea you’re involved in, such as a new comment or a move to the next step. You see these as notifications in the app, and many of them also arrive by email.

Where to find your notifications

A red number on your picture in the top right corner shows how many notifications you haven’t read.

  1. Click your picture or initials.
  2. Click Notifications.

The newest notifications are at the top. Unread ones have a red dot. Each shows when it happened, and comment notifications show the start of the comment.

What you’re notified about

What happens Who is told In the app By email
Someone comments on an idea The idea’s contributors and assignees Yes Yes
Someone replies to your comment You, as the comment’s author Yes Yes
An idea moves to another step The idea’s contributors Yes No
You’re assigned to an idea You Yes Yes
An idea arrives at a step where you’re a reviewer The step’s reviewers (its panel) Yes Yes
A collection manager’s automatic comment is added to an idea The idea’s contributors and assignees Yes No

A few words explained:

  • Contributors are the person who submitted the idea and anyone added to it as a co-author.
  • Assignees are people a collection manager has made responsible for an idea.
  • A step is a stage in the collection’s review, such as “Under review” or “Approved”. See What happens after you submit an idea.

Some rules always apply:

  • You’re never notified about your own actions.
  • You’re only notified about ideas you can open and comments you’re allowed to read.
  • Collection managers aren’t notified about every comment just because they manage the collection. They’re notified like everyone else, for example when they’re an idea’s assignee.

Open a notification

Click a notification to open the idea on top of the page you’re on. For a comment, Hives jumps to the comment and highlights it.

Opening a notification marks it as read. The red dot disappears and the number on your picture goes down.

To mark everything as read at once, click Mark all as read at the bottom of the list.

Grouped notifications

If the same person comments several times in a row on the same idea, Hives shows one notification instead of many, for example “commented 3 times on”. Opening it marks them all as read.

“This card is no longer available to you”

If you can no longer open an idea, for example because it was hidden or moved, its old notifications stay in your list with this message. You can’t open them.

Emails Hives sends

All emails come from your hive’s name with the address noreply@hives.co, and carry your hive’s logo. They are in English. Each one has a button that opens the right place in Hives.

Email When you get it
Sign-in code When you sign in with an email code
You’re invited When someone invites you to join a hive
You’ve been assigned When you’re made an assignee of an idea
New comment or New reply When someone comments on an idea you’re involved in, or replies to your comment
Your input is needed When an idea arrives at a step where you’re a reviewer
New ideas in a collection Once a day, to collection managers, when new ideas have arrived in their collection
Reminder To collection managers and the idea’s assignees, every time an idea has stayed in a step for the number of Reminder days the collection managers chose
Inbox reminder To collection managers, when an idea has sat in the Inbox for the number of Reminder days set on the Inbox

Emails never show other people’s email addresses.

What Hives doesn’t send

You don’t get an email or notification when:

  • an announcement is posted,
  • someone answers a survey,
  • your role or group changes,
  • you’re added to an idea as a contributor,
  • you’re chosen as the reviewer of an idea.

When your own idea moves to a new step, you’re told in the app only, not by email.

Can I turn notifications or emails off?

No. There are no notification settings, and the emails have no unsubscribe link. If you’re getting emails you don’t expect, contact your hive’s Admins or help@hives.co.

Notifications in each hive

If you belong to more than one hive, each hive has its own notifications and its own unread count. Switch hives to see them. See Joining a hive and switching between hives.
