Creating and managing groups

Groups let you organise people by team, department, site or country. You manage them in Menu > Admin > Groups. Each person can be in one group, and you can use groups to decide who sees a page.

Who can do this: Admins and Managers create, rename and delete groups. Only Admins can put other people in a group. Members choose their own group.

What groups are for

Open the groups list

  1. Click Menu in the top-left corner.
  2. Choose Admin.
  3. Click the Groups card.

The table shows each group with these columns: Group, Total, Members, Managers, Admins and Guests. The numbers show how many people with each role are in the group. Deactivated people aren’t counted. Click a column heading to sort by it.

Create a group

  1. Click Add at the bottom of the table.
  2. In Create group, type a Name.
  3. Click Save.

Group names can be up to 40 characters, and each name must be unique in your hive. A new group with no people in it is fine. You can set up your groups first and fill them later.

Rename a group

  1. Click the pencil icon next to the group’s name.
  2. In Edit group, change the Name.
  3. Click Save.

Delete a group

  1. Click the bin icon next to the group’s name.
  2. Confirm with Delete.

Deleting a group:

  • leaves its people without a group (their accounts are not affected);
  • removes the group from every page that was visible to Specific groups. People who could only see a page through this group lose access to it.

If you require people to pick a group, everyone affected is asked to choose a new group on their next visit.

Good to know: before you delete a group, check which pages use it in their Visible to setting.

Put people in groups

There are three ways:

Managers can’t put other people in a group. Guests can’t choose a group.

Common questions

Can someone be in more than one group?

No. Each person is in one group at a time in each hive.

Can Members see which group someone is in?

Yes. A person’s group shows on their profile, which any Member can open. Guests can’t see colleagues’ profiles.
