Asking new members for their group and consent

You can ask members to choose a group and to accept your terms the first time they open your hive. Both are set on the Onboarding tab in Menu > Admin > Hive. They apply to anyone who hasn’t done it yet, including people who were members before you turned them on.

Who can do this: Admins.

Open the onboarding settings

1. Click Menu in the top-left corner.
2. Choose Admin, then the Hive card.
3. Click the Onboarding tab.

Changes are saved with Save in the Unsaved changes bar at the bottom.

Ask members to pick a group

In the Group selection card:

1. Turn on Required.
2. In Guide, write a short message to show above the choice. For example: “Choose the site you work at. This decides which pages you see.”
3. Click Save.

From then on, a Choose a group dialog appears for any member who has no group. It shows your guide text and a Group list, and the person clicks Select. The dialog can’t be closed until they choose.

The dialog only appears if your hive has at least one group. Create groups first in Menu > Admin > Groups. See Creating and managing groups.

When Required is off, nobody is asked. People can still pick or change their group at any time in Edit Profile.

Ask members to accept your terms

In the Consent card:

1. Turn on Required.
2. Write your terms in Consent text. You can format the text, for example with bold text and lists.
3. Click Save.

From then on, a Terms dialog appears for any member who hasn’t accepted yet. It shows your text and an I approve checkbox. The person ticks it and clicks Save. The dialog can’t be closed until they do. Hives records the date they accepted.

Nobody is asked if Consent text is empty, even with Required on.

Good to know: if you change the consent text later, people who already accepted are not asked again.

Who is asked, and when

• Admins, Managers and Members are asked when they next open the hive, whether they are new or have been members for years.
• Each dialog appears only while it still applies: no group yet, or terms not yet accepted.
• Guests are never asked to pick a group or accept terms.

The name step

Separately from these settings, Hives asks anyone without a first or last name to fill them in. The What’s your name? dialog has First name and Last name fields. This usually happens to people who sign in with an email code. People who sign in with Google or Microsoft get their name from that account.

Common questions

Can people change their group later?

Yes, in their profile under Edit Profile > Group. An Admin can also change it. See Finding users and changing roles.

Is the guide or consent text translated?

No. People see the text exactly as you wrote it, whatever language they use Hives in.
