Finding users and changing roles

The Users page lists everyone in your hive with their role and group. Admins can change a person’s role or group from here by clicking the badge in that column.

Who can do this: Admins change roles and groups. Managers can open the list and search it, but can’t change anything.

Open the user list

  1. Click Menu in the top-left corner.
  2. Choose Admin.
  3. Click the Users card.

Find someone

The list has four tabs, each with a count: All, Admins, Managers and Members. Admins also have a Guests tab, and see guests under All.

People who have been deactivated stay in the list, marked as deactivated. See Removing someone from your hive.

To search, type in the Search box at the top right. Hives matches first and last names. Admins and Managers can also search by email address. The tab counts update to match your search.

Each row shows:

  • Name: click it to open the person’s profile, with their contributions and the ideas assigned to them.
  • Email: shown to Admins and Managers only.
  • Role: the person’s role in this hive.
  • Group: the person’s group, or “-” if they have none.

Click any column heading to sort by it. Scroll down to load more people.

Change someone’s role

  1. Find the person in the list.
  2. Click the badge in their Role column.
  3. In the dialog, choose a new Role, for example Admin, Manager or Member.
  4. Click Save.

You’ll see “User updated successfully”. The change takes effect straight away. Hives doesn’t send the person an email or notification, so let them know yourself.

Not sure which role to choose? See Roles and permissions in Hives.

Note: a hive must always have at least one Admin. If you are the only Admin, you can’t change your own role. Make someone else an Admin first.

Change someone’s group

  1. Find the person in the list.
  2. Click the badge in their Group column, or the “-” if they have no group.
  3. Choose a Group from the list. To take the person out of their group, clear the field.
  4. Click Save.

Each person can be in one group at a time. People can also choose their own group in Edit Profile. To create groups, see Creating and managing groups.

What Managers see

Managers can open Users, search by name or email, and see email addresses. They can’t change anyone’s role or group.

Common questions

I get “Failed to update user”. Why?

The most common reason is that the change would leave the hive without an Admin. Make sure at least one other person is an Admin, then try again.

Who can see people’s roles?

Every Member can see colleagues’ names, pictures, roles and groups. Only Admins and Managers see email addresses.
