Inviting people to your hive

You invite people from the + button in the top bar: choose Invite, then copy your hive’s link or send email invitations. An email invitation lets the person join whatever your Who can join setting is. What the link alone does depends on that setting.

Who can do this: Admins and Managers.

Before you invite

Check two settings in Menu > Admin > Hive > Access (Admins only):

Open the invite dialog

  1. Click the + button in the top bar.
  2. In What do you want to do?, choose Invite.

The dialog Invite to followed by your hive’s name opens. It always invites people to the whole hive, even if you open it from inside a collection.

Under Invite with link you see your hive’s address. Click Copy and share it in an email, chat or intranet post.

The link is just your hive’s address. It doesn’t grant anything by itself. What happens when someone opens it depends on Who can join, and the dialog tells you which applies:

Who can join What the link does
Anyone can join Anyone with the link can join.
Allowed email domains only Anyone with an allowed domain can join.
Invite only The link alone won’t let anyone in. Only people you invite by email can join.

Invite by email

Below the link, fill in the email part of the dialog:

  1. In To, type an email address and press Enter. Repeat for each person.
  2. Check the Subject and Message. Both are filled in for you, and you can change them.
  3. Click Invite.

Each person gets their own email, so nobody sees the other recipients. The email comes from your hive, shows your hive’s logo and your message, and has a button to join your hive.

Limits:

  • Up to 100 addresses per invitation.
  • Subject up to 200 characters.
  • Message up to 4,000 characters.

Inviting an address you have invited before sends the email again.

What happens when they accept

  1. The person clicks the button in the email, or opens your hive’s address.
  2. They sign in on your hive’s sign-in page with any method you have turned on.
  3. Their invited address lets them in and they become a Member. This works with every Who can join option.

Until they join, your hive also appears under Recommended on their Hives page.

They must sign in with the same email address you invited. With Microsoft, that means their Microsoft sign-in name.

Note: under Allowed email domains only, an email invite also lets in someone whose domain is not on your list. Under Anyone can join, people don’t need an invite at all, but an invite is a handy way to send them the link.

Common questions

My colleague got the invite but can’t get in. Why?

Check these in order:

  • Did they sign in with the exact address you invited?
  • Is at least one sign-in method turned on?

Can I see or cancel pending invitations?

Not in the app. Contact Hives at help@hives.co if you need an invitation removed.

Can I choose someone’s role when I invite them?

No. Everyone who joins starts as a Member. An Admin can change the role afterwards in Menu > Admin > Users. See Finding users and changing roles.

Does Hives send a reminder if they don’t accept?

No. You can send the invitation again from the same dialog.
