Moving, archiving and deleting folders
You can rename, move, archive or delete a folder from its ⋮ menu. Archiving only tidies a folder away. Deleting removes the folder and its files, but keeps its subfolders, collections and surveys.
Who can do this: Admins, and people named as managers on that folder. Managing a parent folder isn’t enough to change a subfolder.
Rename a folder
- Open the folder.
- Click ⋮ > Edit.
- Change the name (up to 100 characters).
- Save.
Move a folder
To put a folder inside another folder:
- Open the folder.
- Click ⋮ > Move > to folder.
- Pick the folder to move it into. It becomes a subfolder there.
To take a subfolder out and put it on the main Folders page:
- Open the subfolder.
- Click ⋮ > Move > to Folders page.
- Confirm.
When a folder moves, its access changes with it. Inside another folder, it follows the top-level folder’s managers. See Giving people access to a folder (folder managers).
Archive or unarchive a folder
Archiving hides a folder you no longer use from the Active tab and from inside its parent folder.
- Open the folder.
- Click ⋮ > Archive.
- Confirm in Archive folder?.
You’ll find it on the Archived tab of the Folders page.
To bring it back, open the folder and click the Archived badge, or choose ⋮ > Unarchive.
Archiving changes nothing else. The folder’s managers keep their access, and the collections and surveys inside stay open and visible on their pages. To stop people sharing ideas in a collection, close the collection instead. See Closing or deleting a collection.
Delete a folder
- Open the folder.
- Click ⋮ > Delete.
- Confirm in Delete item?.
What happens:
| Item | After deleting the folder |
|---|---|
| Attachments in the folder | Deleted. |
| Subfolders | Kept. They move to the top level of the Folders page. |
| Collections and surveys in the folder | Kept. They move to Uncategorized. |
| Folder managers | Lose the manager rights they had through this folder. |
Deleting a folder can’t be undone.
Common questions
What’s the difference between archiving and deleting? Archiving only hides the folder from the Active list and keeps everything as it is. Deleting removes the folder and its files, moves its subfolders to the top level of the Folders page, and moves its collections and surveys to Uncategorized.
Will deleting a folder delete the ideas in its collections? No. Collections and surveys are never deleted with a folder. To delete a collection, see Closing or deleting a collection.
