What Ida can see and how your data is handled

Ida only reads what you yourself are allowed to see in the hive you are in. Your chats with Ida are private to you, and AI features only work when they are turned on for your hive.

Ida sees what you see

Ida follows the same access rules as you do. It reads:

the ideas you can see, with their titles and descriptions,
the answers to questions and the comments you are allowed to read,
people’s names, the way the app shows them to you,
your hive’s welcome text, your name and role, and today’s date.

Ida never reads:

email addresses,
the names of people who submitted hidden or anonymous ideas,
who gave which rating, unless you manage that collection or are an Admin,
anything in another hive,
ideas, collections or comments you don’t have access to.

Because Ida follows your access, two people can get different answers to the same question. An Admin sees more than a Manager, so Ida does too. See Roles and permissions in Hives and Hidden ideas, hidden names and anonymous collections.

How much Ida reads at once

Without context: an overview of up to 100 collections and the 300 most recently updated ideas, with a short snippet of each.
With context: up to 200 ideas from the collections you choose, in detail.

Your chats are private

Only you can read your chats with Ida. Nobody else in your hive can, not even Admins.
Your chats are kept in Hives until you delete them.
You can delete a chat at any time from Show previous chats.

Where your data goes

When you send a message, Ida sends your question, the earlier messages in the chat and the hive content it needs to answer to Google’s Gemini AI model, through Google Cloud’s Vertex AI service. This only happens while AI features are turned on for your hive.

Turning AI features on or off

AI features are switched on or off for the whole hive by Hives. There is no setting for this in the app. To change it, contact us at help@hives.co. See Logo, colours, hive name and AI features.

When AI features are off:

nobody in the hive can use Ida, Admins included,
other AI features, such as AI summaries of collections and surveys, are off too,
nothing is sent to the AI model,
your earlier Ida chats are kept.

Common questions

Can Ida show me ideas I’m not allowed to see? No. Ida never reads anything you can’t see yourself.

Can an Admin read my Ida chats? No. Chats are private to the person who started them.

If someone loses access to a collection, can they still see it in an old chat? Ida’s earlier answers stay in the chat as they were written. Links in them to items the person can no longer see read “(no longer available)”, and new answers only use what they can see now.
